How to submit a request for your Club?

- Request are selected based on the following criteria in this order:
- District requests are prioritized.
- June 5-7, 2026, is blocked for the District Convention.
- Date submitted (First Come First Served)
- Clubs who have not already borrowed the Historic Display
- All Clubs must be in good standing (Dues up to date with the District and National Exchange)
- District requests are prioritized.
Approved Display Dates – The below dates are already reserved.
- March 23-29, 2026 – Waterbury Club for Doc Shea Awards Night
- May 20-22, 2026 – CT District for use at the Salute to the Finest
- June 5-7, 2026 – CT District for use at District Convention
- June 12-19, 2026 -Waterbury Club For Town Celebration
- June 21 – July 5, 2026 – New Canaan Club – Town 4th of July Celebration
- September 26-29th – Bristol Club – Bristol Mum Festival
Once requests are reviewed and approved, the requesting Club will be notified and the approved dates added below.
A. Loan Duration
- 3–7 days for single events
- Up to 14 days for multi-day displays
- Longer periods only with District approval
B. Transfer Between Clubs
- The approach is a Direct Club-to-Club Transfer
- Currently (Feb 2026) the District is in possession of the Flag Display. Whichever Club has the first reservation will need to collect the flag display from District. The second Club who has reserved the display will need to pick up the display from the first Club. So, basically, whoever has it reserved has to go get it.
- The two Club will need to arrange between themselves the pickup time/date/place.
C. Inventory Verification & Accountability
The Club who had the display must ensure that all items are present, clean and in good condition prior to transferring to the next Club. Your Club is responsible while you have the Display.
The Display will be packed using the guidelines included with the Inventory Checklist.
NOTE: Through the joint efforts of Kathy Craig, Waterbury/NWHill Exchange Clubs and Bill Solder, Norwalk Club, the District now has wooden stands to display the flags indoors for events. They are available as part of the Historic Field of Flags Package. All wooden stand details will be added to the Inventory Checklist and Transfer Form. (By end of March).
THE TRANSFER FORM – The transfer form essentially states the display is in good order, and is acknowledged by both Clubs.
The Club who is picking up the Display will confirm receipt of the display by signing the transfer form. The Club who packed up the Display also signs the transfer form. Each Club should take a picture of the completed form for their records, and a copy must be sent to the District President.
THE INVENTORY CHECKLIST – The Club who picks up the Display should review the Inventory Checklist to ensure contents and condition of display items. Report any missing or damaged items immediately to the District President, and cc the previous Club.
D. Rental Fee
Clubs will be charged based on the length of time on loan. The District Treasurer will work with the Club treasurer for payment. The fee is to cover general wear and tear, and upkeep of the Display. However, any major damages/loss of materials, or flags, etc during the time a Club has the Display will be the responsibility of the Club. (For instance, theft of a Flag). Details of replacement or repairs can be discussed with the District President should anything happen.

- $100 for 7 days
- $150 for 14 days
Other Important Considerations
Clubs should follow best practices to include:
- Call Before You Dig (CBYD) is required to ensure no underground utilities are damaged during installation. Even shallow digging can strike gas, electric, water, or communication lines. Completing CBYD protects volunteers, the public, and the property owner, and provides the club with documented safety compliance. Clubs must CBYD. Click here for more information.
- Consult your local municipal government office for permission if using government properties. You may need to submit a request based on your individual town/city requirements.
- Contact Stapleton Insurance/Rebecca (rebecca@stapletoninsurance.com) to request the Certificate of Insurance for your Display.
- Each Club must supply their own tools/labor to install/takedown the display. A rebar driver or post driver (a heavy steel tube with handles that you lift and drop over the rebar to pound it safely and straight into the ground.)
- Clubs should bring their own Zip ties and measuring tools.
- Flags should be spaced 5 feet apart.
- Clubs are encouraged to develop their own Banner or Signage (Lawn Signs) that spotlight their Club name and contact information. Lawn signs suggesting membership are always good! As are signs asking visitors to share their photos of their experience on the Club’s social media channels.
